School of Art Seeks Senior Administrative Assistant

The Yale School of Art is pleased to invite applications for a new Senior Administrative Assistant:

Reporting to the Operations Manager and as part of the administrative services team, the Senior Administrative Assistant will serve as the sole staff person supporting the Photography and Sculpture departments, including the fabrication shops. Provides a high level of administrative assistance to the Director of Graduate Studies (DGS) for each department. Serve as the subject expert on information and guidance to a large population of renowned full and part time faculty, distinguished visiting artists, and energetic and talented photography and sculpture graduate students. Expected to become familiar with the regular cycle and activities of the academic calendar, reminding faculty and students of required events and deadlines. Maintain department calendars. Support, organize and manage events, workshops, projects, working groups or committees. Organize department town hall meetings, graduate student final reviews, the admissions review process, and assists with preparations for the annual Open House. Serve as the subject expert on university policy and procedures and translate information into accessible and clear guides for directors, faculty, students, and guests. Process financial transactions in a timely manner. Reconcile expenses and work with the DGSs and business office to ensure adherence to budgets.

In partnership with the DGS and Operations Manager, coordinate part time faculty appointments. Request data from new and returning faculty and prepare appointment letters for each department. In partnership with administration and search committee, oversee and support faculty searches from position postings to final interviews. Coordinate extensive visiting artist schedules for each department, advise on travel arrangements, process financial payments, and organize special departmental events to include annual exhibition receptions. Responsible for classroom coordination, stocking supplies, and maintaining specialized department equipment.
