DIGITAL TECHNOLOGY OFFICE EQUIPMENT LOANS


ATTENTION ALL BORROWERS

We are in the process of migrating to a new Equipment Loan Catalog. All borrowers should bring their Yale University ID cards to the Equipment Loan Office in Green Hall to setup a new borrower account during regularly scheduled office hours. Borrower accounts must be established before you can begin the new system.

DIGITAL TECHNOLOGY AND EQUIPMENT LOAN OFFICE RULES

Equipment Signout Monitors will be stationed in room 215 weekdays (see times below) for both check in and check out of equipment. Students borrowing equipment should seek assistance in room 215 when an Equipment Signout Monitor is on duty. Specialty Equipment can be signed out and checked in through the Digital Technology Office (see hours below). Students inquiring about equipment availability or technical specifications can access our ONLINE CATALOG or email the Digital Technology Office at: art.help@yale.edu.

Official hours for Equipment Loan Office (RM215) equipment returns and signouts are:

1:00 – 4:00 -M

1:00 – 4:00 -Tu

1:00 – 4:00 -W

1:00 – 4:00 -Th

1:00 – 4:00 – F

Official hours for Digital Technology Office (RM 208) specialty equipment sign-out and return are:

Monday – Friday, 1:00pm – 4pm

Only Yale School of Art students may check out School of Art equipment.

Faculty who need to borrow equipment should consult Johannes DeYoung, Sandra Burns or Anahita Vossoughi, in the Green Hall and Edgewood Digital Technology Offices to make special arrangements. Equipment Signout Monitors are not permitted to loan equipment to faculty members, unless the faculty members have been pre-approved by Digital Technology Office personnel. Faculty members who have not been pre-approved will be referred to the appropriate Digital Technology Office personnel. Damages, loss, and/or late return of equipment borrowed by faculty members will be subject to the same fee structure as outlined for students. Late and/or replacement equipment fees for faculty members will be billed to the faculty member’s respective class or departmental budget.

To ensure reliable student borrowing and equipment availability, all student borrowers must sign out equipment and agree to return conditions prior to taking possession of borrowed equipment. Students are responsible for returning all borrowed equipment ON THE AGREED UPON RETURN DATE, BY 4PM. Equipment returned late will be subject to an automatic $60 late equipment fee for the first day late. Equipment that is more than one-day late will be subject to recurring $60 late-fees for each additional day late, up to the value of the borrowed equipment. When the value of the equipment has been reached (after the initial $60 late fee), the student will be responsible for the total replacement cost of the borrowed equipment.

Extensions on borrowed equipment are subject to supply and demand. To avoid a late fee, an extension must be arranged before the final equipment due date and confirmed in writing with the Digital Technology Office staff.

If you are unable to return during loan hours on the scheduled date, bring your equipment in one day early. Equipment returned after 4 pm is considered late for that day and will result in a late fee.

Equipment borrowers assume full responsibility for the well being and safe return of borrowed equipment. Borrowed equipment that is lost or damaged while in possession of someone other than the borrower remains the borrower’s full responsibility while under loan. Borrowers should possess property insurance to cover the repair and/or replacement costs of damaged equipment. Borrowers also assume full responsibility for the timely return of all borrowed equipment, and must return all borrowed equipment in proper working order. Failure to return equipment in a timely manner can result in the loss of borrowing privileges.

All equipment must be signed out and returned to Green Hall, room 215. In the instance that there does not appear to be a monitor on duty in 215 during regularly scheduled hours, please contact the main Digital Technology Office in Green Hall, room 208. The preferred method of contact for loanable equipment related matters is email: art.help@yale.edu. Borrowers may also call the Digital Technology Office at 432-9120; if our staff is unavailable, borrowers may leave a voice message describing the issue.

Cameras, VCRs, DVD players, and computers can only be signed out for 7 days at a time, with exceptions for special projects authorized by Digital Office Staff. Projectors can only be signed out for 2 days. Signouts can be extended if the student comes to the office during equipment return hours to request a deadline extension and there is available supply for other borrowers.
